Business Central has two levels of user access: Full Users and Team Users (Read Only). akoyaGO users require one of these permissions in order to have any access to Business Central; their access will be limited to the AkoyaGO CRM.
BUSINESS CENTRAL LICENSES
A Business Central user's permissions are dependent on the Microsoft license(s) assigned to them in the MS Admin Center. “Business Central Essentials,” “Business Central Premium,” and “Business Central External Accountant” are examples of Full Access users.“Business Central Team Members” or “Business Central Basic User” are examples of Team (aka read-only) users.
Full Users have permission to complete the following in Business Central:
- Post deposits
- Print checks
- Post payments
- Fund fees
- Joint investment allocation
- Spendable allotment
- Bank reconciliations
- Journal entries
- Create payees
- Create and post purchase invoices
- Create and edit financial reports
- Edit Fund Statement layouts
Team Users have permission to view data in Business Central, but cannot create, modify or post records. Viewing data in Business Central includes running financial reports and fund statements.
USER SETTINGS - ROLE
A Business Central user will have Permissions assigned (described above), which determine the actions they can take in Business Central.
Each user will also have a Role assigned, which determines how Business Central will look. Each user can also choose the Company they will work for. If your organization has multiple companies (for example, one may have been set up for data validation), it is important that new users are set to the correct Role and Company to ensure they are working in the correct Company and using the correct interface.
A user can do so by clicking the gear in the top corner and choosing "My Settings." Alternatively, a Full User can do this on another user's behalf by following the instructions below.
To set a role and company for a user, search for User Settings:
Select the user and select Edit, either by clicking the three dots next to their name, or Manage in the top bar:
Make sure their Role is set to akoyaGO User, and their Company is set to your live production Company. If you need to make adjustments, click the three dots next to the Role, or click in the dropdown for Company.
