Business Central automates totaling accounts similarly to how it handles account schedules. This means that totaling accounts are automatically updated when a net asset account is assigned or changed, and these accounts allow users to view net asset data in real time, enhancing transparency and efficiency in financial tracking
NUMBERING CONVENTION
Totaling accounts follow the format: [AccountNumber]TOTAL
Example: For account 3000, the totaling account would be 3000TOTAL.
You can customize this by editing the No. field directly in the account card.
G/L ACCOUNT CARD - TOTALING FIELD
The G/L Account Card in Business Central includes a field called Totaling, which defines either an account interval or a list of specific account numbers. The values in this field determine which accounts are summed to calculate a total balance.
The way entries are totaled depends on the Account Type:
- For totaling accounts, the Account Type must be set to Total.
- When you assign or change the Net Asset Account on a G/L account, the system will automatically update the Totaling field to reflect the new configuration.
- This automation ensures that your financial structure remains consistent and up to date without requiring manual adjustments each time a net asset account is modified.
CREATING AND UPDATING NET ASSET TOALING ACCOUNTS
The Create Net Asset Total Accounts function will automatically generate net asset totaling accounts for all expense accounts that do not already have them.
If you’ve made changes to existing net asset accounts and want those updates reflected in their corresponding totaling accounts, you can manually trigger this by selecting the Rebuild Totaling Field for Net Asset option. This action:
- Runs a rebuild across all net asset accounts.
- Sweeps in any recent changes to ensure the Totaling field is accurate and up to date.
You can initiate this rebuild from:
- Any totaling account,
- Any account with a Net Asset Type defined, or
- Any account with a Net Asset Account assigned.
This gives you full control to ensure your total structure remains aligned with your financial setup.
