GOapply Invitation-Only Opportunities

 

This is a resource for organizations that utilize invitation-only GOapply applications. In this document, we’ll look at how to set up and manage invitation-only applications. 

 

 Registration Status - GOapply Settings

 

In some cases, an active invitation-only application cycle may mean that non-invited users are not welcome to register for GOapply at that time. If you do not want users to have the ability to register on their own, you can update the Registration Status field found in your GOapply Settings records. This setting is helpful if the invitation-only applications are sequestered in a unique GOapply site. Your choices for this field are Open or Invitation Only. 

 

 

This setting is not required to utilize invitation-only applications; it is optional if you wish to limit registrations while the invitation-only application is active.

 

If this field is set to Invitation Only, the “register a new account” button will be removed from the login page on the GOapply site indicated in the GOapply URL field. Meaning new users cannot register on their own, and you will Add GOapply Users directly in akoyaGO if needed.   Invitation Only - GOapply Opportunity

 

On the GOapply Opportunity record, there is an Invitation Only field. If you set this to Yes, this Opportunity is removed from the public Opportunities tab in the GOapply UI. If this field is marked No or is blank, all eligible users will be able to apply for this Opportunity.

 

 

Please note that if you set this field to Yes, users can still access it through the direct URL using the Title Slug. See the GOapply Administrator Guide for additional details.

 

 GOapply Invite to Apply 

 

Toolbar action buttons exist on the Constituent and Contact tables. Please note that these buttons function regardless of whether or not the Invitation Only is set to Yes in the Opportunity or Registration Status is Invitation Only in GOapply Settings. 

 

Invite Constituent

This button will create a draft Status Tracking record related to this Constituent, which allows all GOapply Users registered on behalf of this organization to see the Invite Only Opportunity under their In Progress Dashboard in the GOapply UI.

 

 

Select the Opportunity and Phase to which the Constituent is invited. Click Submit. The Opportunity must be published to appear in this list. This list is not limited by Invitation Only settings or Opportunity Type (Individual or Organization) settings.

 

 

This function will send an email with a link to the specified Phase to all GOapply Users (not Contact records) with this Constituent listed as their Parent Constituent. This email is controlled by an Email Template called GOapply - Invite Constituent to Apply.

 

*Note that if the constituent does not have any existing GOapply Users, the constituent's Primary Contact will be created as a GOapply User and will receive the GOapply invitation email.*

Invite Contact

 

To invite a Contact to apply, navigate to the contact record or view and select Invite to Apply from the action toolbar. This function will send an email with a link to the specified Phase to all GOapply Users (not Contact records) selected. This email is controlled by an Email Template called GOapply - Invite Contact to Apply.

 

This process depends on there being a GOapply User with the same email as the Contact record's email address. If the Contact does not have a GOapply User, you can create one using the Add GOapply Users table in the GOapply workspace. See more information in the Add GOapply Users Knowledge Article.
