Begin GOapply Opportunity at Later Phase for Existing Request

 

 

This guide will walk you through bypassing initial phase(s) for organization Requests not submitted through GOapply by choosing the first phase they will complete. This could apply to Requests imported from another system and/or Requests manually entered by the foundation. By selecting the appropriate phase from which the Applicant will begin, they can complete later phases in GOapply, even if the initial Request was not submitted this way. This allows applicants to start from a Phase of your choosing (i.e., allowing the applicant to bypass an LOI or eligibility phase if they reached out to you directly, begin from a reporting phase, etc.) 

 

 

  Create GOapply User(s)

 

To access GOapply to complete later phases, this person will need a GOapply user record.  

 

If the person who will be completing this later phase has already registered via GOapply and has an existing GOapply user, you can skip to the Update/Confirm Data on the Existing Request section below.

 

If the person who will be completing the later phase has not yet registered and no GOapply user exists, you have two options:

 

1. Direct this person to your GOapply UI and have them register as a user (either as an Individual or as an Organization). More information on creating a new account and Organization vs Individual Users can be found in the GOapply User Experience Knowledge Article.

 

2. Create a GOapply User record on this person's behalf. More information on this process can be found in the Add GOapply Users Knowledge Article.

 

 

  Update/Confirm Data on the Existing Request

 

 Because this Request was not created through GOapply, it is most likely missing the needed information to advance to later phases. Before you can make the later phases available, you need to fill in this information.

 

On the Request record, on the GOapply tab, fill in the appropriate GOapply Opportunity.
 


 

 

 

 

If this is a GOapply Opportunity for Individuals, you also need to fill in the GOapply Submitter field. This is a lookup to GOapply users, which is why it is important that the person completing this later phase first has a GOapply User record.

This information will be used when we Advance the Request to a later phase if the Opportunity Type is Individual.
 


 

If this is a GOapply Opportunity for Organizations, the Applicant on the Request should match the GOapply User's Parent Constituent. This information will be used when we Advance the Request to a later phase if the Opportunity Type is Organization.
 


 


 

  GOapply Advance to Choose Phase

 

At this point, you should have:

 

1. Confirmed the user who will complete this later phase has access to GOapply, meaning they have an approved GOapply user – either from registering themselves or from you creating a GOapply user on their behalf

 

2. Confirmed the correct information is filled in on the Request

 

You are now ready create a Status Tracking Record that will give this user access to the later phase.  

 

1. To do this, click the GOapply Advance To button at the top of the Request record and select "Choose Phase:".
 

 

 

 

2. Because you have set the Opportunity on the Request, you can select the appropriate phase from the related Opportunity.

 

 

 

3. Select the phase and click Submit. 

 

You will see this message:

 

 

 

 

4. On the GOapply tab of the Request, you will now see a Status Tracking record.

 

For Organization Opportunities, the GOapply Applicant Organization should match the GOapply User's Parent constituent. For Individual Opportunities, the GOapply User should be filled in as the appropriate GOapply user. 

 

If you would like to confirm this user now sees the correct later phase in the GOapply UI, we recommend impersonating the GOapply user. More information on this can be found in the GOapply Administrator Guide.

 

Note: Don't forget to notify this person that they have a phase to complete in GOapply!
