GOfund Implementation OVERVIEW

 
 
Thank you for choosing GOfund as your organization’s new donor portal! This checklist is intended to guide you through the implementation process for this akoyaGO product. This process typically takes between 30-45 days from GOfund setup to GOfund rollout. 
 
 

FILL IN THE GOFUND SETTINGS 

 

Option 1: Assign a Foundation Staff member to fill in the blanks on the GOfund Settings entity in your akoyaGO CRM. Using the GOfund Admin Guide to define fields, you can enter the theme settings, messaging, and other settings for the GOfund site - at your own pace.
 
Option 2: Complete the implementation questionnaire, which is essentially a script that you provide for our team to fill in the blanks on the GOfund Settings Entity for you. Once the form is returned, an akoyaGO Project Manager (PM) will be assigned to implement your GOfund site. The PM will conduct the backend setup for GOfund, by copying your questionnaire responses into the appropriate fields in the system 

 

 

 

Brainstorm a donor communication rollout plan with your internal team

 

 

We recommend that you give your donors a heads-up about the new GOfund portal once you have selected a “live date”. Your Account Manager can share other client examples with you if you need any help.  

 

Example Messaging: “Dear Valued Donor, (Foundation Name) is excited to announce that we will be launching a new donor portal site on (live date). In this portal, you will have access to view your fund statements, recommend gifts and grants, as well as view and repeat giving history. You will receive an email from (admin name) with instructions on how to register for an account in the new portal. Please reach out to (GOfund Contact Name) with any questions or concerns.”  


 

 

Meet with akoyago account manager and project manager

 

 

This meeting will occur after your GOfund Settings are entered. During the meeting you can review your logo, colors, email verbiage, banner messages, certification text, etc. This is also when your PM will show you how to navigate the GOfund site on the administrative side and the user interface. 

 

 

Conduct internal testing and training with staff

 

Now that your settings are configured, it is time to explore and test. Use this time to get familiar with the GOfund Admin Guide. Make fund connections between your staff members and designated funds to test the registration process, edit messaging, and troubleshoot any oversights. It is important that you test internally to feel comfortable and confident with the site before fund connections are made and the site goes live to fundholders.  

 

If you were a previous FundWeb user, it is okay to test the sites simultaneously; however, we will shut down your FundWeb site before GOfund goes live to fundholders to avoid any confusion and mitigate errors  

 

This is also a good time to review your fund statement layouts in Business Central, edit your system views for the GOfund user interface, and edit the language in the out of the box email templates. Follow our testing checklist for more suggested testing tips:

 

 

Prepare a list of donors and the funds they should be connected to

 

Think about the permissions you want each donor to have inside the GOfund portal.  

 

  1. If you previously used FundWeb, the View below will show you any Fund Connections you’ve made before and their permissions.  

  1. Fund Management > Connections Entity > GOfund Connections View.  

 

  1. If GOfund is your first donor portal, start by creating a list of all the fundholders that you’d like to be connected to a fund. Then work with your AM/PM to create a master list for fund connections.

 

 

Meet with akoyaGO account manager and project manager

 

Discuss final changes prior to going live. This meeting will take place after you have completed your internal testing so that our team can answer your questions and make any final changes before moving forward with fund connections.  

 

 

Go live!

 

Once your fund connections are made, the fundholders will have access to the portal!

 

 

Please note: There is a workflow that will send an automatic invitation to register email to the contact once the fund connection is made between the contact and the fund. Be sure to notify fundholders of the portal change before fund connections are made to avoid unnecessary confusion.  

 

Pro-tip: Make sure that the Foundation User in GOfund Settings has their permissions set to allow emails to be sent on their behalf from akoyaGO. This can be found in akoyaGO CRM > Settings > Personalization Settings > Email > Check the box “Allow Microsoft 365 to send emails on my behalf”.  

 

If you wish to make connections in bulk, the akoyaGO team can run a bulk fund connection process for you which will trigger email invitations to all specified fundholders at once.   

 

After your site is live to fundholders, we recommend hosting a workshop or creating a user guide to demonstrate the use and functionality of GOfund to your donors. Offering training after the ‘live date’ will help mitigate an influx of questions on how to use the portal.
