Prerequisites

 

  Ensure Request Type = Scholarship to make the Applicant Not Required on Request

akoyaGO out-of-the-box functionality will make the Applicant field on the Request table optional when Request Type = Scholarship via a Business Rule. Please note this is only out-of-the-box functionality for Scholarships. For all other Request Types, Applicant is required by default.

1. If there is no associated Applicant Organization, ensure Request Type = Scholarship to make Applicant not Required. If paying an individual directly, please note you also do not need to assign a Payee. 

2. Proceed with the normal approval process of the Request to create and process the Payment. For more information on approving a Request, please see
 Approving/Denying a Request and Processing a Request Payment.

 

  Process Payment and Send to Accounting (No Payee)

To pay a scholarship directly to an individual, you will not list a Payee or Request Applicant on the Payment.

1. Confirm all other required information has been filled in and is accurate, such as the Fund and Account.

2. Confirm Request Contact (found on Fund/Grantee Information tab) is correct.

 


3. As long as your Payment includes a Request Contact and this contact exists in Business Central as a Vendor, you will be able to send your payment to accounting and pay an individual directly. Click Send to Accounting at the top of the Payment (or from a view on Payments and Requirements).

Because there is no Payee (Constituent) listed, you will receive the following pop-up to confirm you want to pay an individual directly:


 


4. Confirm that the payment was successfully received by Business Central. Proceed with normal steps to post payment in Business Central. 
 

  Force Sync to BC for Non-Scholarship Payments Directly to Individuals 

 As noted above, to pay an individual, they must be a Vendor in Business Central. This sync and the creation of the contact as a vendor in Business Central occur automatically when the Is Vendor field is set to Yes. This field is found on the Internal Information tab of a Contact record. For scholarship payments, this field will automatically update to YES, and the contact will be created as a Vendor in Business Central.

For Request payments to individuals who are not Request Type = Scholarship, or for individuals who need to be paid through Purchase Invoice (non-grant expenses), you can force the sync and vendor contact creation by manually setting this field to YES.
