Handling Notes for Constituents, Contacts, and Donors
Handling Note fields can be used to capture important information about a Constituent, Contact, or Donor. A Handling Note will appear as a banner on related records so the akoyaGO user is aware of pertinent information about the related Constituent, Contact, or Donor.
Please note though this is similar to functionality of a Fund Handling Note, this is a separate feature. More information on a Fund Handling Note can be found in the Adding a New Fund in akoyaGO Knowledge Article.
When to Use Handling Notes
As mentioned above, Handling Notes can be used to track important information about a Constituent, Contact, or Donor that you would like to be reminded of when you open a related record (such as a Request, Request Payment, Gift, Gift Payment, Fund, etc.)
Handling Notes can be used to track information about how the Constituent/Contact/Donor wants to be recognized or preferred method of communication (Some examples: This donor is highly anonymous, or Do NOT call Robert "Bobby," or Mr. Smith does not check his email - make sure to call him!)
In summary, Handling Notes are a spot to enter very important information about the Constituent/Contact/Donor that will alert akoyaGO users when they open a related record. Handling Notes are particularly helpful for employees who do not have the knowledge/past information about the Constituent/Contact/Donor.
How to Enter Handling Notes
Handling Notes can be entered on the Internal Information tab of a Constituent, Contact, or Donor record.
