Donor Merge Tool
Prerequisites:
1. akoyaGO with Accounting Admin and Team users
The donor merge tool merges two duplicate donors of the same type.
Things to know:
Donors to be merged must be of the same type (Individual vs. Organization) and the same Primary Contact and Donor Constituent (if Organization type).
All related records will be merged into the primary donor record.
Merge Donors
Once you have identified two donors that are duplicates, you will use the Merge tool to combine the records.
Step 1: Select the Donors
From a view, filter for and select the duplicate donors. Once the donors are selected, a toolbar button will appear called Merge Donors.
Step 2: Choose Primary Donor
On the merge donors dialog box, select which donor you want to be the primary donor in the merge. The primary donor will be the donor that is kept and that absorbs all the related information from the secondary donor.
If there are particular data points that you want to overwrite from the secondary to the primary donor, you can select them in the dialog box. For example, if you want to maintain the anonymity status from the secondary to the primary donor, select it.
By default, the primary donor will keep all of the settings listed on the dialog box.
To merge donors, click Submit.
After Merging Donors
The primary donor will inherit all gifts/gift payments and related records from the secondary donor. The secondary donor will be deactivated.
In the Internal Information tab of the primary donor, there is a field called Merge ID. After merging donors, this field will populate with the secondary donor record.
After merging, a banner will appear across the top of the screen alerting you to the status of Activities that were merged. If there were any Activities that failed to merge from the secondary to the primary donor, you will be able to see how many of which type so you can manually recreate them in the primary donor if needed.
