Alternate/Seasonal Addresses
akoyaGO Contact records contain fields for whether the contact lives at different addresses at different points in time. This is typically used for contacts who live in different locations depending on the season or time of year.
Things to know:
Several process workflows are employed to help automate the update of the address depending on dates in the Contact’s addresses.
Alternate Addresses
Each Contact record has a tab called Alternate Address.
“Address 1” is assumed to be the address captured on the Summary tab and would typically be their primary address.
Active Address - Choose the address that is currently active; this field is automatically updated when the alternate address workflow runs to update Address 1. Address 1 is not an option in this field because it is already assumed that Address 1 is the active address.
Address 2: Active Date - Enter the date at which Address 2 will be active; this field triggers automation, which determines the values shown in the main address fields (Address 1); this function is controlled by workflows.
Address 3: Active Date – Enter the date at which their primary Address will be active again; this field triggers automation which determines the values shown in the main address fields (Address 1); this function is controlled by workflows.
For example, if a Contact lives in Michigan for most of the year, but spends winters in Florida, the Address 2 active date might be December 1, and their Michigan address will be Address 3 with an Active date of March 1.
In the above example, the Active Address on November 1 would be Address 3. This will enable the system to know that Address 2 (Florida) becomes active on December 1.
Please note that 'Address 3' fields MUST be filled in if the Contact has an alternate address. This is how the system knows when to switch from their temporary back to their permanent address.
Alternate Address Workflows
Alternate Address workflows run automatically and are not on-demand.
Alternate Address 2 – This workflow runs automatically on the Address 2 Active Date. It fills in the Address fields in the summary tab with the data in the Address 2 fields.
Alternate Address 3 - This workflow runs automatically on the Address 3 Active Date. It fills in the Address fields in the summary tab with the data in the Address 3 fields.
Update Address to Alternate - This is a child workflow that runs after the previous workflows. Each time an alt. address flow runs, this workflow runs to reset the active dates for each alt. address to one year in the future. This way, if the contact leaves and comes back on the same day each year, you don’t need to manually update their address. If both active dates are after the current day, the workflow does not run.
Alternate Addresses and Mailing Lists
Just a reminder to make sure you use the Update Addresses function on Mailing Lists before generating letters, as Contacts’ addresses may have automatically updated between creation of the list and the day you’re running letters.
