Lists and Views in Business Central

Lists and Views in Business Central allow users to organize, filter, and personalize data for efficient navigation and analysis. Lists display records such as vendors, purchase invoices, or G/L Entries, while Views are saved configurations of filters and sorting that make it easy to revisit specific subsets of data.
 

 

  What are Lists?

  • Definition: A list in Business Central is a page that displays records from a table, such as customers, vendors, items, or sales orders.
  • Purpose: Lists provide a structured overview of data, enabling users to search, filter, and sort records.
  • Examples:
    • Vendors
    • G/L Entries
    • Chart of Accounts

 

  What are Views?

  • Definition: A view is a saved variation of a list that includes filters, sorting, and sometimes column adjustments.
  • Purpose: Views allow users to quickly access specific subsets of data without reapplying filters each time.
  • Examples:
    • A view showing only active vendors.
    • A view filtered to display g/l entries during a specific date range.
    • A view showing purchase invoices over a specific dollar amount.

 

  Creating and Saving Views

1. Navigate to a List Page (e.g., Contacts, Vendors, G/L Entries).

2. Open the Filter Pane by selecting the filter icon or pressing Shift + F3.

3. Apply Filters based on criteria (e.g., region, status, date). (For more information about filtering views, see Filtering in Business Central)

4. Save the View by clicking the save icon.

5. Name the View for easy identification (default name is “All (Copy)” if not renamed).

6. Access Saved Views from the Views group in the filter pane.

 

 

  Managing Views

To manage an existing view, select the three vertical dots

  • Rename or Remove Views: Users can rename views for clarity or remove outdated ones.

  • Hide Views: Users can hide views they do not wish to see in the list
  • Save As: Users can create a copy of the selected view using the Save As option
