If you have adjusting entries that exist in an Excel format or if you prefer to draft your journal entries in Excel, you can copy and paste them into the Default Journal or a custom General Journal in Business Central. This is particularly helpful if you need to import a large quantity of adjusting entries or if they already exist within an Excel spreadsheet.
- Copy Row from General Journal (Default Journal or Custom General Journal)
- Paste Header Row from General Journal to Excel Spreadsheet
- Paste or Enter Data into Excel
Copy Row from General Journal (Default Journal or Custom General Journal)
Open the Default Journal or a custom General Journal in Business Central by clicking Finance > General Journals
From here, choose the Default Journal or a custom journal.
You are about to copy the rows to create the headers for your spreadsheet, so make sure the columns are in the correct order according to your spreadsheet, and that all columns are displayed that you would like to be copied. Copy and pasting is much simpler if your spreadsheet and journal contain the same columns in the same order.
If you need to adjust any rows before copying, click the gear in the top corner and choose Personalize to rearrange or display additional columns:
Highlight the empty row and click CTRL + C to copy. You will see the message "1 row copied"
Paste Header Row from General Journal to Excel Spreadsheet
You will then paste this row into a blank excel spreadsheet (CTRL + V) to create your headers.
For columns that may have leading zeros (such as Account Numbers), we recommend switching the Data Type in Excel from General to Text, so the leading zeros are not removed/reformatted after pasting in your data:
Paste or Enter Data in Excel
Now that your spreadsheet is ready, you can paste in any adjusting entries or type directly into your Excel spreadsheet. Make sure your Document No. columns are correct (advancing for each balanced transaction to group together the debits/credits.) If your Document No. is not accurate, you will need to correct it after pasting in Business Central or you will not be able to post!
Highlight the rows in Excel and copy (CTRL + C). Paste the copied rows into your General Journal in Business Central:
Make any needed adjustments/additions and post.
