Dataverse Capacity Is Full: How to View, Reduce, or Add Capacity

Prerequisites

  • Power Platform Admin role to access Power Platform Admin Center (Tenant/Power Platform/Dynamics 365 admin)
  • Ability to sign in to Microsoft 365 Admin Center (if purchasing capacity add‑ons)

Use the steps and Microsoft Learn links below to resolve Dataverse capacity alerts—starting with viewing capacity, then reducing usage (database/file/log), and finally adding capacity if needed.

  Brief Overview of Capacity (akoyaGO/foundations)

Dataverse capacity is pooled at the tenant level and reported by three types: Database, File, and Log. Capacity alerts typically arise when large attachments, audit logs, or high‑growth tables push usage near or over entitlements. Foundation scenarios (grant files, reports, portal uploads) often impact File capacity first; audit policies impact Log capacity. Use the Learn links below to view usage and act.

Important: Capacity updates can take up to 24–72 hours to reflect after bulk deletions. Plan maintenance windows accordingly and re-check after 72 hours.

Examples (akoyaGO)

Common foundation examples that increase capacity:
1. Large grant attachments and board packets stored on Notes (File capacity).

2. Extensive auditing enabled on many tables during compliance cycles (Log capacity).

3. High‑growth transactional tables (e.g., activities, emails) over multiple grant cycles (Database capacity).

Use the Learn links below to reduce usage safely (bulk deletion, attachment clean‑up, audit log deletion) or purchase add‑ons if operationally required.

Use these official Microsoft Learn resources to view capacity, reduce usage, and add more capacity if needed.

1. View capacity model & where to check usage: Dataverse capacity-based storage details (Learn)

2. Reduce storage consumption (database, file, log): Free up storage space (Learn)  |  Recover database space by deleting audit logs (Learn)

3. Purchase Dataverse capacity add‑ons: Add more Microsoft Dataverse capacity for your tenant (Learn)

Optional: Capacity management & Pay‑as‑you‑go overage: Power Platform Blog: Seamless Capacity Management (PayGo)

Quick Steps:

  • Open Power Platform Admin Center > Licensing > Capacity to review tenant usage.
  • Identify which environments and storage types (Database/File/Log) are highest.
  • Apply clean‑up actions: bulk delete old emails/notes, remove large attachments, and delete oldest audit log segments as needed.
  • Re‑check capacity after 24–72 hours.
  • If still near limits, purchase Dataverse capacity add‑ons via Microsoft 365 Admin Center.
