Vendor Bank Accounts can be maintained in bulk through either direct list editing or Excel import. These tools make it easier to update banking information for multiple vendors, reduce manual entry, validate data before import, and quickly identify errors.

  Edit Bank Accounts in Bulk

The Vendor Bank Account List provides a centralized view for reviewing and managing Vendor Bank Accounts. Key fields are displayed for easy bulk review, and account details can be updated directly from the list as needed.

  1. Use the Search feature to search for Vendor Bank Accounts.

  2. Open the Vendor Bank Accounts list.

  3. Use Edit List to make changes directly in the rows. You can update details such as the bank name, bank account number, routing or transit number, country or region, payment method, and whether the account can be used for electronic payments.

  4. Use the Preferred checkbox to identify the vendor's preferred bank account. Select Open Record when you need to view or manage the complete bank account record.

When adding a new account, the system starts with the code BANK. If that code is already used for the vendor, the system assigns the next available code, such as BANK01 or BANK02.

  Create Vendor Bank Accounts in Bulk

Importing Vendor Bank Accounts is useful when adding many vendor bank accounts at once, such as during a data conversion, when onboarding several vendors, or when collecting banking details from multiple vendors. It avoids entering each account individually and allows you to review the information before it is imported.

  1. From the Vendor Bank Accounts list, select Import Vendor Bank Accounts.

  2. Open Samples and download the spreadsheet template that best matches your needs. The minimum template requires the vendor number, account number, and routing/transit number. Other fields, such as Preferred Bank and Use for Electronic Payments, can be included and may default automatically when not specified.

  3. Complete the spreadsheet and save it. At a minimum, provide the vendor number, account number, and routing number. You can also include the bank account code, bank name, country or region, preferred bank selection, and electronic payment selection.

  4. On the import page, select Upload Excel and choose the completed spreadsheet. You can also add or paste rows directly into the import list.

  5. Review the uploaded rows and select Validate Lines. Correct any rows marked with an error, then validate again.

  6. Select Import Records after validation is complete.

  7. You will receive notification of the number of records processed successfully and any errors:

Each row is processed separately. Successful rows are imported and removed from the staging list. Rows that fail remain in the list with an error message so they can be corrected and imported again.

The system checks that the vendor exists, required information is present, and the account is not already present. If a vendor already has a preferred bank account, the new account can still be imported, but it will not replace the existing preferred account unless you select it after reviewing the warning.

For example, if a vendor number cannot be found, the row remains available for correction and displays a message such as Vendor No. was not found. After correcting the vendor number, run validation again before importing.
